Infection Control Policy

Infection Control Policy 

At a time of global viral pandemic; the procedures outlined in the Infection Control Policy, supersede any usual clinic protocols outlined in our Terms & Conditions.

1. Booking appointments

1a. Appointment times have been lengthened to avoid overlap of appointments. 

1b. All appointments must be arranged in advanced. Walk in enquiries are not permitted.

1c. A Medical Assessment Form and Infection Control Screening Form must be sent to patients at the time of booking.

1d. A new Infection Control Screening form must be sent and completed for each appointment.

1e. Forms must be received in advanced of patient presenting in clinic.

1f. Failure to receive the forms, will result in the patient appointment being cancelled.

1g. Patients should contact the clinic in advance if they have difficulty completing the form.

1h. Due to a high number of missed appointments without notice, it has been necessary to introduce a fully refundable booking fee of £50 for all appointments. This fee will be refunded once the appointment has been attended or can be used against the cost of treatment or products in clinic. 

1i. Cancellations require 48 hours notice. If cancelling due to isolation / Covid; we will require evidence of a positive lateral flow test, a positive PCR test or a booked PCR test.. Failure to cancel or move appointments with suitable notice will be liable to lose the booking fee. 


2. Clinic environment considerations

The clinic must adhere to the following:

- Face masks must be worn by all parties. A patient must only remove their face mask if requested to do so by the clinician.

- A hand sanitiser dispenser must be available in every room.

- The sink must be stock with soap and disposable paper hand towels.

- The kitchen and bathroom are for staff use only. Patients are not permitted under any circumstance.

- The Procedure Room must contain only the essentials so that all surfaces can be easily cleaned.

- The door should remain locked and the doorbell used for patients, staff and delivery drivers can announce their arrival.


3. Accessing the building

3a. We operate a strict one-in-one-out policy. Patients may not be accompanied to appointments.

3b. Patients to present at the clinic at the time of booked appointment. There is no waiting area inside the clinic. The door is to be locked between appointments.

3c. Where possible, patients should be encouraged to leave via the back door.

3d. Food or drink must not be consumed in the clinic by patients. Bottled water may be provided in the event of a vaso-vagal episode. 

3e. Infection Control Screening Assessment must be completed before patient is allowed to enter the building.

3f. We do not accept walk-in enquiries.

3g. Patients and staff must apply hand sanitiser and a face mask before entering the clinic.

3h. All patient belongings must be placed in the designated space. Staff belongings must be placed in the back area of the clinic.

3i. Patients must wait in the reception area until called through to the consultation room.

3j. The consultation room is a touch-free zone. Staff must be shielded behind a screen and social distancing rules apply. Staff and patients must wear face masks during consultation. Staff may ask patients to remove the mask in order to view the lower face for assessment.



3k. Patients should be aware of the increased risk of delayed inflammatory reactions resulting from increased risk of viral infection.

3l. Patients should also be aware that should staff develop symptoms; we will be required to pass on their personal details to NHS Track and Trace so they can be contacted. We may also be required to pass on details of treatments provided.

3m. Payment must be taken in advance of the procedure, in the consultation room. We encourage contactless payment such as bank transfer where possible.

3n. Consent forms to be signed in the consultation room, on patient’s mobile device where possible. A designated tablet should be provided for when this is not possible. This should be cleaned with appropriate anti-microbial cleaner after use.


4. Procedures

4a. If treatment is required; staff must ask the patient to wait in the consultation area whilst preparations are made for the procedure. All necessary products, equipment and PPE must be prepared before the patient is invited into the room.

4b. Staff must wear appropriate PPE in line with the PPE policy.

4c. Patients should be invited into the room and asked to sit/lay on the treatment couch.

4d. Patients are required to keep their face masks in place unless asked otherwise, strictly for the purpose of treatment of the lower face.

4e. Staff must renew their PPE before cleaning the Procedure Room after every procedure, as below:

- Wash hands following the procedure and renew gloves and apron prior to cleaning.

- Open the door to the outside.

- Empty bins.

- Clean all hard surfaces with anti-microbial cleaner.

- Spray door handles, the treatment couch and treatment trolley with supplied anti-microbial spray.

- Remove PPE and wash hands.

4f. In the event of a complication, patients should remain in the Procedure Room until resolved.



5. Leaving the premises

5a. Following an appointment, staff and patients must sanitise their hands before leaving the premises.

5b. Patients should not re-enter the Consultation Room but leave the premises immediately, through the back door where possible.

5c. Staff to wipe hard surfaces in Consultation Room and Reception area between each appointment. This includes but is not limited to:

- Chairs

- Tablet used for consent forms.

- Handheld payment device.

- Desk and trolley.

- Door handles.

- Anything the patient may have touched or expectorated on during the appointment.

5d. Staff to clean Procedure Room following procedures as above.

5e. Staff to perform a full deep clean of the clinic at the end of each day.


6. Staff Considerations

6a. All staff must complete a Risk Assessment Form.

6b. Any staff experiencing new symptoms of pyrexia, cough, headaches, loss of taste or smell; must isolate in line with current government guidelines before returning to work.

6c. If staff develop symptoms, they must contact NHS Track and Trace and provide patient details for the requested period for the purpose of informing them of their risk of infection.

Terms & Conditions

New Registrations


1. New patients will be registered on the system with the minimum following information on their customer profile:

  • First Name

  • Surname

  • DOB

  • Gender

  • Email address

  • Telephone number

  1. All new registrations should be sent a Medical Assessment Form, Marketing Form and Infection control form, which should be completed before their initial consultation.

  2. Patients requesting Botulinum Toxin treatment may require a face-to-face assessment before treatment can be prescribed, meaning that on-the-day treatment is not available with certain members of staff.

  3. Patients will be given the option to receive marketing information.


Bookings and appointments


  1. Patients may choose to book appointments in a number of ways:

    • Via the website

    • Telephone

    • Facebook Messenger

    • Clinic email

  2. Patients will be required to pay a £50 booking fee to secure their appointment. This will be refunded once the appointment has been attended or offset against the cost of treatment if the patient prefers.

  3. Ovatu operates a waiting list which should does not guarantee an appointment but means you will be contacted if one becomes available.

  4. Facebook operates an appointment request tool, which can be used to schedule appointments directly. However these appointments are not always current with our system so you may be contacted to reschedule to an available time.

  5. Follow up appointments and next treatment appointments should be scheduled in clinic where possible. 

  6. It may be necessary for staff to move bookings where infection control or staff sickness is an issue. Administrative staff will aim to contact you with as much notice as possible.

  7. If the patient requires to cancel their appointment for any reason, 48 hours notice should be given. Failure to do so will result in the return of the booking fee being forfeited. This is so we can ensure appointment availability for other patients.


Assessment and Treatment

​1. It is the responsibility of the patient to truthfully disclose any and all medical information to the practitioner. Many of our treatments have the potential to have adverse effects in the presence of medical conditions, previous medical conditions, surgeries, pregnancy and breastfeeding, drugs, vaccinations, current illness, supplements and recreational substances.

2. Patients will be assessed by the clinician in order to make appropriate treatment recommendations. Clinicians reserve the right to recommend no treatment or to refuse the treatment requested by the patient.

3. Patients will be required to read and sign a consent form for each treatment. It is the patients responsibility to ensure they have fully understood the terms of the consent form and ask the clinician for clarity if this is not understood.

4. Whilst our clinicians will take appropriate precautions to ensure appropriate treatment, they cannot be held responsible for any and all complications resulting from treatment.

5. Under no circumstances does the clinic offer refunds where treatment has been received. In the event of complications or treatment not meeting expectations, please refer to points 6 & 7 of this policy.

6. Clinicians cannot take responsibility for the patient's expectations, although they will do their best to manage them appropriately. Patients will incur the costs of any additional treatment. 

7. Complications resulting from treatment may require additional treatment to improve or resolve. The patient is liable for

any additional costs involved.

Model opportunities 

1. Occasionally the clinic may give the opportunity to sit as a model for a treatment. This comes with conditions which must be upheld. If these conditions are not upheld, the patient will be subject to the full cost of the treatment. 

2. The patient must give full consent for all images before and after treatment to be used publicly for advertising and marketing. They may appear on any platform including social media, print and and the website. These images are property of the company to use as they wish.

3. Patients must understand that in a training environment, the rates of complications may increase. Whilst students will be supervised, we cannot guarantee the usual standards of treatment. 

4. All model treatments are subject to respecting privacy. Patients must not divulge any information over heard whilst in the clinic or give details of the treatment, including but not limited to prices, names of students, information regarding the procedure.

5. Models should be aware that students will require verbal instruction. As such, models may hear procedures/anatomy/protocals being explained which can be distressing. Patients must ensure they are comfortable with such details before participating a model treatment.

6. All usual consent form terms apply.

Data Handling (Please see full Privacy Policy and GDPR Statement below)

1. Patient data is required for the purpose of communicating with, and the treatment of, the patient.

2. Legally we are required to hold patient notes for 7 years.

3. Patient notes will be made available to the patient within 14 days of request.

4. Patient data will not be released to any other parties without the consent of the patient. Exceptions apply to this; for example for safeguarding issues, the emergency treatment of a patient whereby a patient is unable to consent, court request etc.

5. Patients should not share their online account login details with anyone.

Complaints handling


At The Medical Skin Clinic, we aim to deliver the best possible service for our patients. Occasionally things might go wrong and it is important that we address these issues with care and compassion and help to achieve resolution for our patients as effectively as possible.

  1. Stage 1: Any complains should be made via email or letter. If a patient raises a concern; the Director and any staff involved will be informed. Complaints should be made in a timely manner.

  2. Stage 2: The patient will be invited in for a follow up appointment. If immediate remedial action can be taken, then it will be discussed with the patient. If a complication requires treatment, it will be performed in line with the Complication management policy. 

  3. Stage 3: If the patient remains dissatisfied, they should submit their complaint in writing, for the attention of the Director. The Director will complete an investigation and respond to the patient within 45 working days of the receipt of complaint letter. Additional information from the patient or staff may be requested.

  4. Stage 4: The patient should be seen by the Director or treating Clinician if appropriate for remedial action. It may be necessary that this remedial action takes place over a number of appointments. 

  5. Costs: As per the consent form, costs for correction are the responsibility of the patient. Refunds will not be given where treatment has taken place but the Director may, at their discretion, offset some of the costs of correcting a procedure.

  6. Should the patient remain unhappy with our Final response or investigation they can raise their concern with the Independent Sector Complaints Adjudication Service at . They must do this within six months of the date of the final response.

The Medical Skin Clinic manages patient information in accordance with existing laws and with guidance from organisations that govern the provision of healthcare in England such as the Department of Health and the General Medical Council.

As data controllers, GPs have fair processing responsibilities under the Data Protection Act 1998. In practice, this means ensuring that your personal confidential data (PCD) is handled clearly and transparently, and in a reasonably expected way. 


The Health and Social Care Act 2012 changed the way that personal confidential data is processed, therefore it is important that our patients are aware of and understand these changes, and that you have an opportunity to object and know how to do so.


The health care professionals who provide you with care maintain records about your health and any NHS treatment or care you have received (e.g. NHS Hospital Trust, GP Surgery, Walk-in clinic, etc.). These records help to provide you with the best possible healthcare.


NHS health records may be processed electronically, on paper or a mixture of both; a combination of working practices and technology are used to ensure that your information is kept confidential and secure. Records held by this GP practice may include the following information:


  • Details about you, such as address and next of kin

  • Any contact the practice has had with you, including appointments (emergency or scheduled), clinic visits, etc.

  • Notes and reports about your health

  • Details about treatment and care received

  • Results of investigations, such as laboratory tests, x-rays, etc.

  • Relevant information from other health professionals, relatives or those who care for you


The practice collects and holds data for the sole purpose of providing healthcare services to our patients and we will ensure that the information is kept confidential. However, we can disclose personal information if:


a)     It is required by law

b)    You provide consent – either implicitly or for the sake of their own care, or explicitly for other purposes

c)     It is justified to be in the public interest


Some of this information will be held centrally and used for statistical purposes. Where we hold data centrally, we take strict and secure measures to ensure that individual patients cannot be identified.


Information may be used for clinical audit purposes to monitor the quality of service provided, and may be held centrally and used for statistical purposes. Where we do this we ensure that patient records cannot be identified.


Sometimes your information may be requested to be used for clinical research purposes – the practice will always endeavour to gain your consent before releasing the information.


Improvements in information technology are also making it possible for us to share data with other healthcare providers with the objective of providing you with better care.


Patients can choose to withdraw their consent to their data being used in this way. When the practice is about to participate in any new data-sharing scheme we will make patients aware by displaying prominent notices in the surgery and on our website at least four weeks before the scheme is due to start. We will also explain clearly what you have to do to ‘opt-out’ of each new scheme.


A patient can object to their personal information being shared with other health care providers but if this limits the treatment that you can receive then the doctor will explain this to you at the time.


Mobile Telephone

If you provide us with your mobile phone number we may use this to send you reminders about any appointments or other health screening information being carried out.

Usage Data


Usage Data is collected automatically when using the Service.

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

We may also collect information that Your browser sends whenever You visit our Service or when You access the Service by or through a mobile device.

Retention of Your Personal Data

The Medical Skin Clinic will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Medical Skin Clinic will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.


Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

The Medical Skin Clinic will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.

We may also have to share your information, subject to strict agreements on how it will be used, with the following organisations:

  • Independent Contractors such as dentists, opticians, pharmacists
